Protecting personal information: Fundamental policy and procedures

Yanai Tadashi Foundation uses personal information for the purposes outlined in Article Three of the Articles of Association. We respect the overall ethos of information protection and adhere to the appropriate laws and regulations governing personal information based on the Act on the Protection of Personal Information. We are careful to use personal information both safely and appropriately, and are committed to its protection.

1. Obtaining personal information

The Foundation is clear about its intended use of personal information and will only use information that has been voluntarily and actively disclosed by the individual in question.

2. Use of personal information, and its protection

The Foundation uses personal information for the following purposes:

  • Personal information provided by scholarship recipients, students and individuals who have received donations from the Foundation (includes individuals' parents or guardians if applicable) is used to:

    • Explore possible donation opportunities, convey donation decisions, and monitor current or ongoing donations.
    • Create a register of individuals receiving donations for monitoring purposes.
  • Personal information provided by clients, voluntary organizations and persons involved is used to:

    • Arrange payment of professional fees and remuneration of services, etc.
    • Facilitate the activities required to fulfill our objectives as stipulated in the Foundation's articles of incorporation, such as making contact, discussing, investigating, negotiating, providing information, receiving and handling of distributed items.

In principle, the Foundation does not share personal information with third parties, except in the following circumstances: i) Outsourcing activities in order to fulfill the Foundation's objectives, ii) Under a legal or regulatory obligation to do so, or iii) When disclosure of personal information is necessary to protect an individual's life, physical or financial well-being.

3. Managing personal information

  • The foundation carefully and appropriately manages personal information and puts the necessary preventative and remedial measures in place to minimize the risk of loss, destruction, falsification or leakage of all personal information due to unauthorized access, theft or removal of data.
  • If the Foundation outsources any operation that falls within the objectives remit and involves personal information, the counterparty must sign a contract outlining obligations linked to the handling of personal information, and the progression is monitored to ensure information is managed appropriately.
  • The foundation is always available to answer queries on the disclosure, correction or withdrawal of personal information by the individual owner of that information and strive to respond appropriately.

4. Ensuring sustainable and consistent legal compliance

  • The Foundation adheres carefully to laws and regulations regarding the protection of personal information in all of its business operations.
  • Systems and methods are in place to protect any personal information that the Foundation holds. The Foundation will review and improve these systems to reflect changes in the operational scope, broad legal changes that might affect the operation, and changes in social or IT environments, etc.
